Privacy policy
How we collect, use, share and protect personal data when you visit this website, fill in a form, donate, volunteer or message us, and the choices you have.
Last updated: 17 October 2026
Part 1
Who we are
This website, www.potholeraja.com, is run by GroundReality Trust, a charitable trust based in Bengaluru, Karnataka, India. PotHoleRaja® is the Trust’s programme brand. In this policy, “we”, “us” and “the Trust” mean GroundReality Trust.
We decide why and how personal data collected through this website, our forms, email and WhatsApp, and our donation and volunteering work is used, and we are responsible for it. In the words of the Digital Personal Data Protection Act, 2023, we are the “data fiduciary” and you are the “data principal”.
We follow the Information Technology Act, 2000 and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011. We are also bringing our practices in line with the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025, as their provisions come into force.
This policy does not cover the websites and apps we link to, such as YouTube, WhatsApp and social media. They have their own privacy policies.
In short: we collect only what we need to reply to you, issue receipts and run our programmes. We do not sell personal data. Analytics run only if you choose “Accept all”. You can ask us at any time to show, correct or delete what we hold about you.
Part 2
What we collect
Only what we need for the reason you came to us.
Details you enter in our forms
Our forms are the “Connect with us” pop-up, the partner co-design request, the flier download, the 80G receipt request, volunteer sign-up and report a pothole. Depending on the form, they ask for your name, email, phone or WhatsApp number, organisation, city and a message, and for a tick in the box that says you agree to be contacted. What you send is stored with our website host, in Wix Forms and Wix Contacts, and emailed to the Trust at csr@groundreality.org and prathaap@groundreality.org.
Donation details for 80G receipts
Your full name, postal address and PAN, and the amount, date and transaction reference of your donation, so that we can issue your receipt and report your donation as the Income-tax Act requires. Our donation policy explains this.
Pothole reports, photos and messages
The location and description of a pothole or road-safety problem, and any photos you send us through a form, WhatsApp or email. Photos can show people or vehicle number plates, so please avoid that where you can.
WhatsApp and email
When you message or email us, we receive your WhatsApp name and number or your email address, and whatever you send. WhatsApp links on this site open only when you click them.
Volunteering and events
Your name, contact details and the drives or programmes you join. At drives and events, we and our partners take photos and videos to record and report the work. Tell the organiser if you do not want to appear in them.
How you use the website, only if you allow it
If you choose “Accept all” in the cookie banner, Wix Analytics records the pages you visit, your device and browser type, your approximate location (worked out from your IP address) and how you reached the site. If we add Google Analytics later, it will record the same kind of information, and also only after “Accept all”. Our cookie policy has the details.
Technical and security information
Like any website host, ours receives technical details such as your IP address, browser and the time of each request, so that it can deliver and protect the site. To stop spam, our forms also use a hidden field and a check that the form was not filled in faster than a person could.
We do not ask for passwords, card numbers, banking log-ins or health information on this website. Please do not send them to us.
Part 3
How we use it
To reply to you
To answer your enquiry, arrange a co-design session, send the flier you asked for and follow up on your request.
To handle donations
To issue receipts and 80G certificates, report donations to the Income Tax Department in Form 10BD, and keep the records that tax, trust and foreign-contribution laws require.
To fix roads and report the work
To plan, carry out and record repairs and road-safety work, and to tell you what happened to your report.
To run volunteering and programmes
To organise the drives, school and college programmes and partner projects you join, and to keep you informed about them.
To send updates, only if you agree
Newsletters and campaign updates go only to people who have asked for them. You can stop them at any time.
To run and improve this website
To keep the site working and secure, stop spam and, if you allow it, count visits so that we can see what is useful.
To meet legal duties
To comply with Indian law, respond to lawful requests from authorities, and protect the rights and safety of the Trust and others.
Our team reviews enquiries and visit statistics in a private dashboard that reads this data from Wix. Only the Trust’s team can see it, and nothing in it is sold or shared for marketing.
We will not use your personal data for an unrelated purpose without telling you first and, where the law requires, asking for your consent.
Part 4
Consent and your choices
We use your personal data with your consent, which you give by ticking the consent box in a form, by choosing “Accept all” in the cookie banner, or by writing to us. Where the law allows, we also use it without asking again: for example, to issue a receipt you asked for, or to report a donation in Form 10BD because the Income-tax Act requires it.
You can withdraw your consent at any time, as easily as you gave it:
Contact and updates: email csr@groundreality.org with the subject “Withdraw consent”, or tell us on WhatsApp.
Cookies: choose “Cookie settings” at the foot of any page and pick “Necessary only”. See changing your choice in our cookie policy.
Withdrawing consent does not affect what we did before. We then stop using your data for that purpose, unless the law requires us to keep it. Some things, such as issuing an 80G certificate, are not possible without the details they need.
Part 5
Who we share it with
We do not sell or rent personal data, or share it with anyone for their own marketing.
Service providers who work for us
Wix.com hosts this website, stores form submissions in Wix Forms and Wix Contacts and, if you accept, runs Wix Analytics. Google provides Google Fonts, the YouTube player when you press play, the email accounts that receive our form notifications (Google Workspace) and, if we add it and you accept, Google Analytics. Meta runs WhatsApp, which you use when you choose to message us. Each works under its own terms, privacy policy and security controls.
Programme partners
When you take part in a programme we run with a partner, such as a company volunteering drive or a school or college programme, we share with that partner what is needed to run it, such as your name and attendance.
Road agencies and repair partners
The location and photos in a pothole report may be shared with the agency responsible for the road, or with partners who can fix it. We do not share your contact details with them unless you agree.
Authorities and advisers
The Income Tax Department receives donors’ names, addresses, PAN and donation amounts in Form 10BD. Other authorities receive personal data only when the law requires it. Our auditors and professional advisers see it only as their work needs, and must keep it confidential.
Transfers outside India
Our website host, Wix, and other providers such as Google and Meta, may store or process data outside India, including the form submissions held in Wix. We use them only as Indian law allows, and we will follow any restriction the Government places on transfers to particular countries under the Digital Personal Data Protection Act, 2023.
Part 6
How long we keep it
Enquiries, sign-ups and flier requests
For as long as we need them to reply to you and to keep in touch about what you asked for. We then delete or anonymise them, unless the law requires us to keep them.
Donation records, including PAN
For as long as tax, trust and foreign-contribution laws require. This can be several years after the end of the financial year in which you gave.
Pothole reports and photos
For as long as we need them to plan, fix and report on the repair. Photos of roads and repairs, without your contact details, may stay in our record of work.
Website analytics
Wix keeps site statistics under its own terms. If we add Google Analytics, we will keep its data for at most 14 months.
Your cookie choice
In your own browser, until you change it or clear this site’s data.
When you ask us to delete your data, we do so unless the law requires us to keep it, and we tell you if that is the case.
Part 7
Your rights
You can ask us to do any of these, free of charge.
Know what we hold
Get a summary of the personal data we hold about you, how we use it, and who we have shared it with.
Correct and update
Correct data that is wrong or misleading, complete it, or bring it up to date.
Erase
Delete data we no longer need for the purpose you gave it, unless the law requires us to keep it.
Withdraw consent
Stop any use that relies on your consent, at any time, as Part 4 describes.
Raise a grievance
Complain to our Grievance Officer (see contact). If you are not satisfied with our answer, you may approach the Data Protection Board of India, as the Digital Personal Data Protection Act, 2023 allows.
Nominate someone
Name another person to exercise these rights for you if you die or become unable to act.
To make a request, email csr@groundreality.org with the subject “Privacy request”, or write to us on WhatsApp. We may ask you to confirm who you are before we act, so that we never give your data to someone else. We will reply as soon as we can, and within the time the law allows.
Please give us accurate information, and do not use anyone else’s details. The law asks the same of everyone who shares personal data.
Part 8
Children
This website and its forms are meant for adults. If you are under 18, please ask a parent or guardian to fill in the form or contact us for you.
Our school and college programmes are arranged with the institution. We collect a child’s personal data only with the consent of a parent or lawful guardian, and we do not knowingly track children or direct advertising at them.
If we learn that we have collected a child’s data without that consent, we will delete it.
Part 9
How we keep it safe
We protect personal data with reasonable security practices: encrypted connections (HTTPS) for every page and form, a content security policy, no third-party scripts before you give consent, access limited to the people who need it, and spam protection on our forms. Our security page explains more.
No system is completely secure. If a personal data breach affects you, we will tell you and the authorities as the law requires.
Part 10
Changes to this policy
We may update this policy when our website, our work or the law changes. The date at the top shows the current version. If a change affects how we use your data, we will say so on this website and, where the law requires, ask for your consent again.
